Adding PDF Files to the Document Library

Do not upload any other type of document than a PDF files into your Document Library without first checking with us. staff.

Uploading Word and Excel files or similar files is strictly forbidden as they can contain hidden viruses. If you need to let someone have access to an editable file like a Word or Excel file, get those emailed to you and you send it to them. There is too much danger associated with these files to put them on your site.

If you ignore this warning and are subsequently discovered to have uploaded prohibited files your website will be suspended instantly and without notice. This action will be taken to protect our other customers from your thoughtlessness. This may seem like a harsh warning, but these things have happened and caused massive disruption to the victim of the virus.

Uploading a PDF File

A) In the Black Bar at the top of the screen click on the Library link.
B) Roll over Documents.
C) Click on Upload Documents.
D) Select the document library category that you wish to upload the file into.
E) Click Browse to search your computer for your PDF document(s)
F) Select each document. You can keep selecting files until you are ready to upload.
G) Click on the Upload Files button<

Once you have uploaded the a PDF File(s)


H) In the Black Bar at the top of the screen click on the Library link.
I) Roll over Documents.
J) Click on View Documents.
K) You will see a list with all of the Documents that you have uploaded.



L) Select the one you just uploaded. The system uses the file name as the Title on upload (these can be changed once uploaded).

The Following fields are available to modify:

  • Sort Number - The order in which the Uploaded Document appears when it displays on the page.
  • Title - The title of the Document that ONLY displays in the back end. This title does not show on the public side of your website!
  • Category - The Category which your document is associated with.
  • Label - The title that displays on the public pages of your website. If you leave it blank it will use the TITLE in the public area. This can look a mess, so it is suggested you add a Label.
  • Description - A brief description to explain what the document is about.
  • File - The uploaded file itself. If you want to replace the currently uploaded file, you are able to do this by first clicking on the ‘Remove File’ link and then browsing to find the new file via the browse button. Then click on upload.
  • Thumbnail Image - For an image to display with the Document. Please note the image only shows as a small square not a representation of the document. This is generally left blank, in which case a PDF logo will be displayed by the file on the page.
  • Access Level - Whether the document is publicly viewable or not. Please call W3 if you want member-only documents.


M) Once finished with the necessary changes, please click on the Edit button.

Once uploaded, like images, it is possible to display PDF files throughout the site. Some restrictions apply.
